What could AI give your team back?
Enter where your team's time goes each week. We'll estimate the hours and money AI could save, how long the AI Audit would take to pay back, and how that compares with our 300-hour guarantee. Every assumption is shown and you can change it.
Step 1
Your team
Each role, how many people, and their hourly wage. We value each hour at your team's average loaded cost (wage × 1.3, to cover benefits and payroll costs).
Step 2
Where the time goes
Hours a week, for the whole team, on each kind of repetitive work. The % column is how much of that time we assume AI could save. These are conservative planning assumptions, not benchmarks; change any of them.
Why 25%?
No published study fits this well, so this is our judgement. Connecting two systems often removes re-keying, but a first change usually covers only part of it. Often the biggest win once systems are connected; we start low.
Why 20%?
Drafting help, set well below the writing and consulting studies (about 40% and 25% faster). A person approves every price, so only drafting time counts. AI drafts; a person approves every price.
Why 30%?
Drafted reminders and follow-ups a person approves in one click. Below the writing study's ~40% time saving. Drafted for you; nothing sends without approval.
Why 30%?
Below the writing study's ~40% time saving; its authors note real-world gains are smaller once checking is included. Pulls the numbers and drafts the summary; you check it.
Why 25%?
Our judgement: sorting and drafted first replies, between the drafting studies and the customer-support study. Sorts and drafts; a person sends.
Why 10%?
Below the customer-support study, where AI help raised issues resolved per hour by about 14–15% on average (mostly for newer staff). Notes and logging, not replacing people on the phone.
Why 15%?
Our lowest default, for anything not listed. Set your own % if you know better.
Step 3
Costs and settings
Example figures only, not a Voxelio price or quote. Replace them with a quote you have; ours is set on the discovery call.
How we calculate this
- Hours a year back = for each kind of work: hours a week × 48 working weeks × % saved, added up.
- Value a year = hours back × your team's average loaded cost (enter wages to see it).
- Audit payback = audit fee ÷ the monthly value. The audit finds the savings; they start once the first changes are in place.
- Platform payback = setup ÷ (monthly value − monthly cost).
- 12 months: month 1 is the audit (no savings yet), months 2–3 count half the savings while the first changes go in, months 4–12 count the full estimate.
- Hours are rounded to the nearest 10 and dollars to the nearest $100, so it doesn't look more precise than it is.
Sources behind the default percentages
- AI help raised customer-support issues resolved per hour by about 14–15% on average. Brynjolfsson, Li & Raymond, “Generative AI at Work”, Quarterly Journal of Economics (2025); NBER working paper 31161.
- About 40% less time on professional writing tasks; the authors expect smaller gains in real work. Noy & Zhang, “Experimental evidence on the productivity effects of generative artificial intelligence”, Science (2023).
- Consultants worked about 25% faster on tasks AI handles well, and did worse on a task it doesn't. Dell'Acqua et al., “Navigating the Jagged Technological Frontier”, Harvard Business School working paper 24-013 (2023).
- Wages are about 70% of what private employers pay per hour; benefits and payroll costs are the rest. US Bureau of Labor Statistics, Employer Costs for Employee Compensation, June 2026.
This is an illustrative estimate, not a promise or a quote. It uses only the numbers you entered and the assumptions shown above, which are planning defaults set below published study results, not measurements of your business. Real savings depend on your systems, your data and how your team adopts the changes. The AI Audit measures the real numbers.
Hours freed only become savings when they change hiring, overtime or capacity. The audit checks which ones do, with your bookkeeper's or CPA's numbers.

FAQ
Questions, answered.
Where do the percentages come from?
They're our conservative planning defaults, set below the results of published studies on AI-assisted work (sources are listed on the page). They're not benchmarks for your industry, and you can change every one.
Is this a quote?
No. It's an illustrative estimate from the numbers you entered. The platform figures are examples for you to replace; a real price is set on the discovery call.
Why does the audit cost money if the calculator is free?
The calculator uses your estimates. The audit measures how the work really runs and gives you a ranked, costed plan. If it can't find at least 300 hours a year of work to save, the audit is free.
What happens to what I enter?
Nothing is saved unless you ask for a copy by email. Then we save your email, your inputs and the estimate so we can send it. We only follow up if you tick the separate box.
Will AI replace my staff?
That's not what this measures. It estimates time spent on repetitive work that could be given back to the team for other work; a person still approves anything that goes out.
Want real numbers instead of estimates?
The AI Audit measures how your team's time is really spent and gives you a ranked, costed plan. Starting at $5,000, scoped to your team size. If we can't find at least 300 hours a year of work to save, the audit is free.
