AI Audit · 2–4 weeks · Fixed fee
Find out where AI will actually pay off in your business, before you spend on it.
In two to four weeks we learn how your work really gets done, check every AI tool you already pay for, and hand you a ranked, costed plan for what to do first. If we can't find at least 300 hours a year of work to save (about 6 hours a week across your team), the audit is free.
Starting at $5,000, scoped to your team size. Fixed fee, confirmed on your discovery call.

Missed calls and after-hours leads
- The problem, in their words
- “After 5pm every call goes to voicemail, and half of them never call back.”
- What it costs today
- About 140 calls a month go unanswered, from two weeks of phone-system logs.
- P&L line it moves
- Revenue, measured before and after with the company's own numbers.
- What fixed looks like
- Every after-hours caller gets an answer, and a booking or a callback time.
| Option | What it is | 12-month cost | Score /100 | Why / why not |
|---|---|---|---|---|
| A. Use what you have | The answering add-on in your field-service app | ~$3k | 84 | Recommended |
| B. Buy | A separate AI answering service | ~$6k | 73 | Works, but sits outside your schedule |
| C. Build with Voxelio | Custom call routing | ~$15k | 50 | Not needed: nothing unusual about the routing |
| D. Don't automate yet | Keep voicemail | Lost jobs | 25 | The cost of waiting |
- Recommendation
- Option A: switch on the add-on and connect it to the live schedule.
- Rules it follows
- It only offers open slots. It never quotes a price or promises a time a person hasn't set.
- The trial
- 4 weeks · owner: office manager · cost cap: the add-on's monthly fee · decision on day 30.
Ideas we brought, and what we found
| Idea | What we checked | Result | Next step |
|---|---|---|---|
| An AI tool to write social media posts | Where new customers came from over six months: almost all from calls, referrals and reviews. | Not worth it | Dropped. Reviews and missed calls matter more. |
Sample, fictional company. Every number is illustrative. A real report uses your own numbers, dated sources for every price, and one page like this for each of the top five.
How it works.
- Before we start
A mutual NDA, a short intake call, and an engagement letter with the fixed fee, scope, dates and your named sponsor.
- Week 1
Interviews and walkthroughs; we start the list of AI tools from your statements and payables.
- Week 2
We map your core workflow end to end: who does each step, in which system, how long it takes, how often, and where work gets re-typed or waits.
- Week 3
We score the opportunities, check vendors against what they promised, and list the quick wins.
- Week 4
Readout with you: the ranked plan, the one-pagers, the keep/fix/cut list and the policy draft.
Shorter engagements can finish in two to three weeks.
What we need from you.
- A named sponsor who can make decisions, and about an hour a week of their time.
- 30–45 minutes with each person we interview, and permission to watch two or three people work (they get written notice first).
- Read access or exports: card statements or a payables list, system user lists, and any AI vendor contracts or proposals.
- Introductions to your AI vendors and agencies.
Our guarantee
The 300-hour guarantee.
If the audit doesn't find at least 300 hours a year (about 6 hours a week across your team) of work your team could save, you don't pay for the audit. If you've already paid, we refund the audit fee in full (the refund is capped at the audit fee), and you keep the report and everything else we delivered.
How it's measured and when it applies
- What countsTime your team spends today on tasks the audit recommends automating, simplifying or dropping. We estimate it with our audit method (interviews, walkthroughs, and your systems' own timestamps and volumes) at the frequency your team confirms, and each hour is counted once.
- What we needThe sponsor time, interviews, access and exports listed in your engagement letter, provided during the audit.
- How to claimEmail us within 30 days of the readout. No forms, no argument about the method we've already shown you.
- If you continueIf you go on to a Fractional CAIO retainer, half of the audit fee is credited to your first month.
- What it isn'tA promise of the savings you'll realise later. That depends on what you decide to do with the plan.
The exact terms are in your engagement letter.
Who it's for.
Owners and leaders of growing companies, typically $5–100M in revenue, without an in-house AI lead, especially in logistics and transportation, construction and the trades, and manufacturing and equipment. A good fit if you're being pitched AI tools, already paying for some, or not sure where to start.
After the audit
You own the plan and every deliverable. Many clients continue with a monthly Fractional CAIO retainer or an AI Foundation 90 project to put the plan to work, but there's no obligation.
FAQ
Questions, answered.
What does it cost?
Starting at $5,000, scoped to your team size and how many workflows we cover. It's a fixed fee, confirmed on your discovery call, so you'll know the number before you sign.
How long does it take?
Two to four weeks, depending on how many people and workflows are involved.
Do you need access to our systems?
Read access or exports only, and only what's listed in your engagement letter. We never need to change anything in your systems.
Will you monitor our staff?
No. We use interviews, walkthroughs people know about, and the timestamps your systems already keep. An opt-in time-tracking tool is being built for later; it will only ever be used with written notice and each person's opt-in.
Where does our information go?
Your data stays in your own systems. Our notes are kept confidential under the NDA, and findings are reported by task and role, never ranked by person. Results for groups smaller than five people are combined, so no one can be singled out.
What if AI isn't right for us yet?
Then we'll say so, and the plan will show what to fix first. If we can't find 300 hours a year to save, the audit is free.
Will you sell us your own products?
The audit is vendor-neutral. Keeping what you already have is often the best answer, and we'll say so.
What happens after?
You keep everything. If you'd like help putting the plan to work, we can talk about a retainer or a 90-day project, with no obligation.
